A Day in the Life and the Impact You’ll Make:
As a Human Resources Intern (Employee Filing), you will support daily HR document management activities, including employee file scanning, processing, classification, and archiving. You will work closely with the HR team to ensure employee records are accurately maintained, securely managed, and easily accessible.
What You’ll Do:
- Document scanning and processing: Use scanners and other equipment to batch-scan paper documents.
- Image quality inspection and optimization: Verify scanned electronic files to ensure images are clear, complete, straight, and free of omissions. Perform necessary cropping, rotation, and other adjustments.
- File naming and classification: Accurately name and archive scanned electronic files according to company-established naming conventions and classification systems.
- Original file management: Sort, arrange, bind, and archive scanned paper files to ensure the integrity and security of original documents.
- Confidentiality and security: Strictly adhere to company confidentiality agreements and data management policies to safeguard all employee file information.
- Assist with other ad-hoc human resources-related tasks as assigned.
- Manage employee document information and filing records systematically according to HR requirements.
- Support HR administrative activities and ensure assigned tasks are completed accurately and on time.
- Coordinate with HR team members on document management, file organization, and related administrative tasks.
- Support other HR-related projects and activities assigned by the department.
- Maintain accurate records and follow internal processes for employee file management.
- Support additional human resources tasks as required.
What You’ll Bring:
- Current university student (any major accepted, though preference given to Archives, Human Resources Management, Information Management, Library Science, Public Administration, Secretarial Studies, or related fields).
- Meticulous and detail-oriented with a strong sense of responsibility; capable of efficiently and accurately handling large volumes of repetitive tasks.
- Strong learning aptitude and hands-on ability; able to quickly master scanning equipment and records management software operations.
- Basic document processing skills, familiarity with Windows operating system, and proficiency in Microsoft Office suite.
- Strong time management skills to ensure consistent attendance and timely completion of assigned tasks.
- Highly confidential mindset—one of the most critical requirements for this position.
- Good organizational skills and the ability to work effectively with HR team members.
- Ability to follow procedures and maintain accurate employee records.
Nice to Have
- Basic experience or knowledge in HR, administration, document management, or related fields.
- Familiarity with document scanning, filing systems, or records management processes.
- Experience using office software and document management tools.
- Experience working in a multinational company or structured corporate environment.
